Payroll Team Leader
Job Introduction
The Payroll Team Leader is responsible for all aspects of our colleagues pay cycle, ensuring the timely and accurate payment of our circa 1300 employees, every month. Alongside pay, this role will also take part in processing key business reports, the processing of all colleague benefits, effective data management and system maintenance. Development of the Team and the service to our colleagues are key deliverables of this role.
Role Responsibility
- The processing of all New Starters, Leavers, Change of Terms and Conditions, the processing, recording and payment of all Court Orders, plus any other changes to the pay record, also sending out e-payslips and P45’s
- Manage the Time & Attendance data, liaising with Operational Managers, to ensure timely and accurate recording of information. Supporting managers with queries and timecard sign offs.
- Work with the HR Systems and Data Manager, to ensure pay data and reporting information extracted from the Time & Attendance system is correct. Assist with system changes to ensure data consistency is maintained.
- Responsible for the monthly uploads of all additional payments and absence data into our payroll system.
- The calculation and processing of all payments and adjustments in relation to absence, including Company and Statutory sick pay, plus other Statutory payments
- The accurate reporting and submissions to the HMRC, including the EPS and FPS, along with the monthly upload of the changes to tax codes and student loans. Also, making sure the payments are made on time every month
- Running the monthly pensions assessment process, processing opt ins, opt outs and changes to contributions, whilst reconciling the monthly pensions submission for our pension provider
- Set up, management and process of our company benefits, including Childcare Vouchers, C2W, Holiday Entitlement’s, Private Medical Insurance etc.
- Responsible for the maintenance of all online Colleague Records
- Issuing letters to colleagues regarding pay and changes in a timely manner eg Maternity/Paternity, sickness absence payments etc.
- Responding to all colleague employee and financial reference requests
- Providing accurate and timely reporting for Finance and third parties, weekly and monthly to support the business
- Owner of our Payroll in-box, with the team, responding to queries and requests in a timely and professional manner
- Putting in robust solutions to reduce query numbers by improving internal processes and communication with the wider business
- Assist the Payroll Manager in the development and roll out of any colleague benefits
- Supporting the Payroll Manager with the processing of P11D’s, P60’s and the PSA so that they are issued accurately and efficiently
- Train, support and coach other members of the Team and deputise for the Payroll Manager as required
General:
- Uses existing payroll knowledge to fulfil the requirements of the role, seeking advice from your manager where required
- Uses established procedures to solve queries, using own judgement and expertise
- Effectively manages time so that deadlines are met both individually and as a team
- Act upon any feedback from your line manager concerning individual and / or team performance
- Responsible for and undertakes continual learning and development both informally and formally, ensuring a clear understanding of the business and cross functional priorities
- Demonstrates a systematic approach and displays strong problem solving skills with a continuous improvement mindset
The Ideal Candidate
Experience:
- Relevant Payroll/CIPP qualification (Level 3 or above) or working towards
- At least 2 years’ in a similar role within Payroll.
- Good solid knowledge of all pay elements, tax, benefits and pension matters.
- Experience of working in a fast-paced & changing environment, in industries such as Retail, Logistics etc.
- Competent and confident with the use of MS Office packages, with advanced Excel skills
Skills and Attributes:
- Previous experience of working with various payroll systems, knowledge of Miracle (Nav) payroll and UKG (Kronos) time and attendance would be advantageous.
- Resilient, strong and supportive Team player with the ability to work independently.
- Accuracy and attention to detail is essential, along with an ability to work to strict deadlines.
- Good communication and time management skills, able to manage changing priorities as required.
- Able to act in a professional manner at all times, maintaining high levels of confidentiality.
